# Fixing Access Issues

### What this is

This guide helps you troubleshoot when a user cannot access something in the system.

### When to use this

Use this when:

* A user cannot see a section
* A button or action is missing
* A user cannot complete a task

### Important

Most access issues are caused by:\
👉 User role settings\
👉 Not system errors

***

### Step 1: Confirm the issue

Ask:

* What is the user trying to do?
* What exactly is missing or not working?

Be specific before making changes.

### Step 2: Check the user’s role

1. Go to **Users**
2. Find the user
3. Check their assigned role

***

### Step 3: Compare role permissions

Make sure the role matches what the user needs to do:

* Needs to manage users/settings → **Clinic Admin**
* Needs to oversee operations → **Manager**
* Needs to log visits → **Nurse**
* Needs view-only access → **Viewer**

### Step 4: Update the role if needed

If the role is incorrect:

1. Open the user
2. Change the role
3. Save

### Step 5: Have the user try again

* Ask the user to refresh or log out and back in
* Confirm the issue is resolved

### Common issues

#### User cannot see a section

This is usually a role restriction

#### User cannot create or edit

Their role may be set to Viewer or limited access

#### User cannot log a visit

They may not have Nurse or appropriate permissions

***

#### User cannot manage users

Only Clinic Admin (or higher) can do this

### If the issue is not resolved

If the role is correct but the issue continues:

1. Confirm the user is in the correct clinic
2. Have them log out and log back in
3. Contact a system admin if needed

### What NOT to do

* Do not share accounts
* Do not create duplicate users
* Do not give higher access unless necessary

### Important

Access should always match the user’s responsibilities.

Giving too much access can lead to:

* Mistakes
* Incorrect records
* Compliance issues
