# Fixing Inventory Mismatch

### What this is

This guide helps you find and fix differences between system inventory and actual inventory.

***

### When to use this

Use this when:

* Inventory counts do not match
* You suspect something was recorded incorrectly
* You are reviewing inventory for accuracy

***

### Why this matters

Inventory mismatches can be caused by:

* Incorrect visit entries
* Wrong lot selection
* Incorrect quantities
* Incorrect archive outcomes

These issues affect:

* Inventory tracking
* Audit logs
* Compliance

***

### Step 1: Identify the issue

Start by confirming:

* Which compound is affected
* Which lot is affected
* What the system shows vs what you physically have

***

### Step 2: Review recent visits

1. Go to **Visits**
2. Look at recent visits using that compound or lot
3. Check:
   * Compound used
   * Lot selected
   * Quantity entered

***

### Step 3: Check archived visits

For each relevant visit:

* Open the visit
* Confirm how it was archived
* Look at the selected outcome:
  * Return
  * Waste
  * No Adjustment

***

### Step 4: Review audit logs

1. Open **Audit Logs**
2. Look for:
   * Changes to compound or lot
   * Quantity updates
   * Archive actions
3. Identify where something may have been entered incorrectly

***

### Step 5: Find the source of the mismatch

Common causes include:

* Wrong lot selected
* Wrong quantity entered
* Visit archived with incorrect outcome
* Visit edited incorrectly

***

### Step 6: Correct the issue

If you have permission:

1. Open the affected visit
2. Update the incorrect information
3. Save changes
4. Confirm changes in the audit log

***

If you do not have permission:

* Contact a manager or clinic admin
* Explain what needs to be corrected

***

### Step 7: Verify inventory

After correcting:

* Recheck the system inventory
* Compare with physical inventory

***

### Common mistakes

#### Guessing instead of checking

Always use visits and audit logs to confirm what happened

#### Not reviewing archived visits

Inventory is finalized at archiving

#### Ignoring small errors

Even small quantity differences can cause mismatches

***

### Important

The system reflects what was entered.

It does not correct errors automatically.

***

### Best practice

If something looks wrong:

1. Check visits
2. Check archive outcomes
3. Check audit logs
4. Then correct
