# How Inventory Works

### What this is

This guide explains how inventory is tracked in the system and how your actions affect it.

***

### Why this matters

Inventory is updated based on what is recorded during visits.

If information is entered incorrectly, it can cause:

* Incorrect inventory counts
* Confusing records
* Compliance issues

***

### How inventory is tracked

Inventory is connected to:

* **Compounds**
* **Lot numbers**
* **Visits**

Every time a visit is logged, the system tracks what was used.

***

### What happens during a visit

When you log a visit and record:

* A compound
* A lot
* A quantity

The system uses that information to track inventory.

***

### What happens when a visit is archived

Inventory is finalized when the visit is archived.

At that point, you must choose an outcome:

* **Return** → inventory goes back (if applicable)
* **Waste** → inventory is removed
* **No Adjustment** → no change is made

***

### What staff are responsible for

To keep inventory accurate, staff must:

1. Select the correct compound
2. Select the correct lot
3. Enter the correct quantity
4. Archive the visit with the correct outcome

***

### What affects inventory accuracy

Inventory can become incorrect if:

* The wrong lot is selected
* The wrong quantity is entered
* A visit is archived incorrectly
* A mistake is not corrected

***

### Example

A patient receives treatment using a specific lot.

If you:

* Select the correct lot
* Enter the correct quantity
* Archive correctly

👉 Inventory will stay accurate

If any of those are wrong:\
👉 Inventory will also be wrong

***

### Common mistakes

* Selecting the wrong lot
* Forgetting to enter quantity
* Archiving with the wrong outcome
* Not correcting errors

***

### Important

Inventory tracking depends entirely on what is entered during visits.

The system does not guess or fix errors automatically.

***

### When to double-check

Always double-check:

* Before saving a visit
* Before archiving a visit
* When correcting a mistake
