# How to Archive a Visit

### What this is

This guide shows you how to close a visit and record what happened to the inventory used.

***

### When to use this

Use this when:

* A visit is complete
* No more changes need to be made
* You are ready to finalize inventory

***

### Why this matters

Archiving a visit determines what happens to inventory.

If done incorrectly, it can cause:

* Incorrect inventory counts
* Confusing audit logs
* Compliance issues

***

### Before you start

Make sure:

* The visit details are correct
* The compound and lot are correct
* The quantity is correct

👉 Do not archive until everything is reviewed

***

### Steps

#### 1. Go to Visits

* Open the **Visits** section

***

#### 2. Find the visit

* Search for the patient
* Open the correct visit

***

#### 3. Review the visit

Confirm:

* Correct patient
* Correct compound
* Correct lot
* Correct quantity

***

#### 4. Click “Archive”

* Select **Archive Visit**

***

#### 5. Choose the inventory outcome

You must choose what happened to the inventory:

***

#### Return

* Use when prepared inventory was not used
* Inventory is returned according to clinic workflow

***

#### Waste

* Use when inventory cannot be reused
* Inventory is removed

***

#### No Adjustment

* Use only when no inventory change is needed
* Use carefully

***

#### 6. Confirm your selection

Before saving, ask:

* Was the product used?
* Was it returned?
* Was it wasted?

***

#### 7. Save

* Confirm and complete the archive

***

### After archiving

* The visit is closed
* Inventory is updated
* The action is recorded in the audit log

***

### Common mistakes

#### Choosing the wrong outcome

This is the most common error

#### Archiving without reviewing

Always review before archiving

#### Using “No Adjustment” incorrectly

Only use this when you are certain no change is needed

***

### If something was archived incorrectly

1. Open the visit
2. Review what was selected
3. Correct it if your role allows
4. Confirm changes in the audit log

If you cannot edit:

* Contact a manager or clinic admin

***
