# Understanding Inventory Deduction

### What this is

This guide explains when and how inventory is reduced in the system.

***

### Why this matters

Inventory is adjusted based on what you record during visits.

If information is entered incorrectly, it can lead to:

* Incorrect inventory counts
* Missing or extra inventory
* Compliance issues

***

### When inventory is deducted

Inventory is tied to two actions:

1. Logging a visit
2. Archiving a visit

***

### During visit logging

When you record:

* A compound
* A lot
* A quantity

The system tracks what is planned or used for that visit.

At this stage:\
👉 Inventory may be reserved or recorded, depending on your workflow

***

### When a visit is archived

Inventory is finalized when the visit is archived.

At this point, you must choose an outcome:

***

#### Return

* Inventory goes back (if applicable)
* Used when prepared product was not used

***

#### Waste

* Inventory is removed
* Used when product cannot be reused

***

#### No Adjustment

* No change is made
* Used when inventory was already handled correctly

***

### How this affects inventory

Your actions directly control inventory.

#### If everything is correct:

* Inventory stays accurate

#### If something is incorrect:

* Inventory will also be incorrect

***

### Example

A visit is logged with:

* Compound A
* Lot 123
* Quantity 1

If you archive as:

* **Waste** → inventory decreases
* **Return** → inventory may increase or stay the same
* **No Adjustment** → no change

***

### What staff are responsible for

To keep inventory accurate:

* Select the correct compound
* Select the correct lot
* Enter the correct quantity
* Choose the correct archive outcome

***

### Common mistakes

* Entering the wrong quantity
* Selecting the wrong lot
* Choosing the wrong archive outcome
* Assuming the system will fix errors automatically

***

### Important

The system does not correct mistakes on its own.

Inventory is only as accurate as what is entered.

***

### When to double-check

Always double-check:

* Before saving a visit
* Before archiving a visit
* When correcting a mistake
